We take your privacy seriously. This privacy policy explains what personal data we collect, why we collect it, and what your rights are.
Data controller
For questions about your data, please contact us at golfcoachingbyyouri@gmail.com. Your coach is the controller responsible for processing your data. This website runs on the Golfly platform, a product of Codavo, which processes the data as a processor on behalf of your coach.
What data do we collect?
Contact form
Name, email address, phone number (optional) and your message. We use this data to answer your question.
Booking and account
Name, email address, phone number and your lesson details: date, time, lesson type, participants and the status of your payment or lesson credits. If you pay online, the payment is handled by Mollie; we don't store bank or card numbers.
If you message your coach's WhatsApp number, we store the conversation: your phone number, the name from your WhatsApp profile, and the text of the messages you send and the replies you receive. If you provide details in the conversation to complete a booking, such as your name and email address, those are kept with the conversation until the booking is complete. If your number matches an existing client, we look up your first name, your remaining lesson credits and your upcoming lessons so we can answer your question. We don't store photos, voice messages or other attachments; we only record that you sent something. Messages your coach sends from their own phone are recorded only as an event, without the content.
AI assistant on WhatsApp
To answer you quickly, your message is read by an AI assistant that drafts a reply. For this, the most recent messages in the conversation and the lesson details mentioned above are sent to Anthropic, the provider of the language model. Your coach can take over the conversation at any time and reply personally. If the assistant hands the conversation over to your coach, your coach receives a message containing your name, your phone number and your last message.
Swing Check
Name, email address, phone number, handicap (optional), golf club (optional), description of your challenge (optional) and a video of your swing. We use this data to analyse your swing and send you a personal video review.
Video review
After analysis, your swing review is available via a secure, unique link. This link is only shared with you by email. The page shows your first name, your swing video and your coach's video analysis.
Why do we process your data?
- To provide the service you requested (swing check, contact request)
- To schedule, confirm and settle your lesson, including your payment or lesson credits
- To answer your question on WhatsApp and help you book, reschedule or cancel
- To notify you by email about your swing review
- To improve our services
The legal basis depends on the situation. For booking and settling a lesson it is the performance of the agreement with your coach. For the contact form, the swing check and answering your WhatsApp message it is your consent, which you give by submitting the form or sending us a message. For WhatsApp reminders we ask for your consent separately, and you can withdraw it at any time.
Storage and security
Your data is stored in a database at Supabase, in a data centre in Frankfurt (EU). The website itself runs on Cloudflare (EU/US) and emails are sent via Resend. We take appropriate technical and organisational measures to protect your data.
Retention period
We don't keep your data longer than necessary. WhatsApp conversations are automatically deleted 12 months after the last message by default, together with every message in that conversation; a different period can be set per coach, from 1 to 120 months. Swing check videos and related data are deleted within 6 months, unless you have an ongoing coaching relationship. We keep your bookings and payments longer, because your coach has a statutory record-keeping obligation for them.
Third parties
We don't share your data with third parties, except the technical service providers needed to run our service. They process your data solely on our instructions:
- Cloudflare: website hosting (EU/US)
- Supabase: database, sign-in and file storage (Frankfurt, EU)
- Resend: email delivery
- Mollie: payment processing (Netherlands)
- Meta: delivery of WhatsApp messages via the WhatsApp Business Platform, only if you contact us via WhatsApp
- Anthropic: the language model behind the AI assistant on WhatsApp, only if you contact us via WhatsApp
- ElevenLabs: converting spoken recordings into text, for your swing video review and your coach's lesson notes
- Sentry: recording technical error reports so faults can be traced (European servers). Session recordings are switched off
- Plausible: visitor statistics, on the sites where the coach uses this. Plausible sets no cookies and does not track you across websites
Your rights
Under GDPR you have the following rights:
- Right to access your data
- Right to rectify incorrect data
- Right to have your data erased
- Right to restrict processing
- Right to data portability
- Right to object to processing
Contact us at golfcoachingbyyouri@gmail.com to exercise your rights. We'll respond within 30 days. If you want your WhatsApp conversation erased, give us the phone number you messaged from and we'll delete the entire conversation with all its messages. Your bookings and payments remain for as long as the statutory record-keeping obligation applies. You also have the right to lodge a complaint with the Dutch Data Protection Authority.
Cookies
We only use functional cookies ourselves, such as your language preference. We don't place tracking or advertising cookies. Some pages do embed a video or map loaded by another party, such as YouTube or Google Maps. If you view such a page, that party may place cookies we have no control over.
Changes
We may update this privacy policy. The latest version is always available on this page.
